The order of a VAT invoice
A clear UK VAT invoice follows a fixed order: list the goods or services, show the net subtotal, add the VAT as its own labelled line at the applicable rate, then show the gross total the customer pays. Keeping VAT on a separate line — rather than folding it into the prices — is what lets the customer reclaim it and what HMRC expects on a proper VAT invoice.
A full VAT invoice must also show your VAT registration number, the invoice date and a unique sequential number, and your business and customer details. For smaller retail sales a simplified invoice with less detail is allowed.
Net, VAT, and gross
Start from the net price — the amount before tax — and multiply by 1.20 for the standard 20% rate to get the gross. The VAT line is the difference between the two. If you only have the gross figure, divide by 1.20 to recover the net and find the VAT inside it.

Carry approved quote values into the VAT record
When a customer accepts a net quote, preserve the description, quantity, unit price, discount, and applicable VAT rate as the invoice is created. Recalculate only when scope or price changed, and document that change. This prevents a gross total from being forced to match while the underlying tax line is wrong.
Check the tax point because it can determine the VAT period even when payment arrives later. Credit notes should reference the original invoice and reverse the correct net and VAT values. Foreign-currency invoices need the accepted sterling conversion method and supporting rate record.
Before sending, verify the sequential number, issue and supply dates, legal supplier and customer details, VAT registration number, line descriptions, net subtotal, rate, VAT amount, and gross total. Archive the issued version rather than relying on an editable draft or email preview.
